Bump in

VILLAGE STALLS

 

  • Arrive from 6am onwards – no cars to drive into Village Area.

 

  • You must drive down Avoca Drive past all the shops,

then turn left at the roundabout into Ficus Avenue. Follow

it around the corner into Ficus Avenue Carpark located directly behind the main shops.

 

  • You can park your car here to unload. Stalls that are

located near Avoca Drive (see map) can unload from

Avoca Drive. Please do not unload from the small

carpark near the coffee shop, under any circumstance.

 

  • Your location will be marked out – no changes.

 

  • After you have unloaded, you must move your car and

park on the Beachfront carpark only located on Ficus

Avenue (map attached).

  • Never park in front of the shops or coned areas.
  • Never leave your car in Ficus Carpark
  • Never park in small carpark on Avoca Drive – Avoca Shops Parking only.
  • FAILURE TO ADHERE TO ABOVE IS IMMEDIATE CANCELLATION OF YOUR STALL & FUTURE EVENTS
  • Avoca Fire Brigade will also monitor every market day.

it around the corner and drive up to main gate onto site until you see Brad in the orange vest.

  • Food vendors may drive onsite to unload You can drive in this gate here and find Bianca who will show your location. You can unload your goods, as quickly as possible then exit ONE WAY onto Avoca Drive back into Ficus Avenue where you must park your car in the Beachfront carpark.
  • You must then move your trailers and cars back to the Ficus Avenue beachfront carpark 50 mts away – no exceptions.
  • NEVER park in front of the shops or coned area
  • NEVER park in Ficus Carpark main area
  • NEVER park in roped off area

  • Arrive from 6am onwards. The main gate you enter in will be locked at 8am – so if you arrive after this, you will have to walk your product in – no exceptions

 

  • You must drive down Avoca Drive past all the shops, and then turn left at the roundabout into Ficus Avenue.

 

  • You can drive in this gate here and find Bianca who will show your location. You can unload your goods, as quickly as possible then exit ONE WAY onto Avoca Drive back into Ficus Avenue where you must park your car in the Beachfront carpark.

 

A staff member in a safety vest will direct you out, and make sure you all unload as quickly as possible to move the cars off site to avoid congestion. Please pop your hazards on and do not exceed 10km.

  • After you have unloaded, you must move your car and park on the Beachfront carpark located on Ficus Avenue.

Your car will be allowed back onsite only when the site has been cleared and safe for you to enter. Do not under any circumstances drive onsite or open gates without FIXX Events informing you the site is safe to load out. If the gate down the toilet block end is open, you can exit that way. Be careful of patrons leaving site and don’t exceed 10km.

 

 

MARKET HOURS

  • Market hours of operation are 9am – 2pm every 4th Sunday and please check dates.
  • All stalls must have vacated the site by 4 p.m.

FOOD and VENDOR PUBLIC & PRODUCT LIABILTY

  • All stalls who do not hold a current 10 million public liability policy will NOT be permitted to trade – updated copies need to be emailed to FIXX Events upon application and must remain filed – THIS IS YOUR RESPONSIBILITY
  • You are responsible for safety within your 3x3 space and ask you to please be mindful of any trip hazards, unsafe structure or threats to patrons and the environment.
  • Food Stalls must hold both Products and Public Liability insurance to min $10 million and supply copy of this insurance at time of application.
  • Food Stalls need to be registered with the NSW Food Authority.
  • All Food Safety and OHS procedures must be met per Gosford Council standards and FIXX Events Trading Terms.
  • Failure to have compliance on these above or severe breaches from council inspections will result in instant dismissal from event and FIXX.
  • Non compliancy with food preparation on event day or poor food standards is instant dismissal.
  • You must have current tagged electrical leads and is your responsibility to be compliant.
  • You must have a fire extinguisher on hand
  • inside stall if hot food is being served, cooked or prepared and know how to use if needed.
  • NO BOTTLED WATER SALES AT ANY EXECPTION – SOFT DRINKS PERMITTED
  • Please read Workcover information attached for further ways to ensure you are safe and compliant each event.

YOUR STRUCTURE &

STALL PRESENTATION

SUB LETTING SPACE

  • You must trade from a 3x3 commercial grade structure/gazebo.
  • No make shift structures will be permitted.
  • As the site is on grass, you must be pegged in at all times, and use appropriate weights for safety and terms and conditions compliance.
  • Accepted pegs include industrial strength grade.
  • Weight must be sandbags, water filled or heavy grade – spot checks will be done regularly and
  • NONE OF THE ABOVE ON DAY – NO TRADE / NO RETURNthis is a serious breach of terms
  • Stalls appearance must be of high, artistic quality and not exceed your allocated space. Please place all boxes etc under your tables out of view. Please do not extend onto pathways.
  • We do not allow subletting of stall space.
  • No other artist (apart from who applied and sent public liability) is allowed to sell other people’s goods without approval. If found guilty, no return.
  • If you start your own market or similar event, you will not be permitted to trade at Avoca.
  • There is an annual $10 administration fee due every October payable to Avoca Beachside Markets. This will be collected from Jane rent day.

YOUR WASTE &

LOOKING AFTER THE SITE / POWER FEES

  • All stalls are responsible for having a clean site and ensuring they take all rubbish away, and you will be charged $200 if your site is not left tidy/clean. Regular checks will be made.
  • Please look after the site’s trees and do not hang anything that will damage the trees.
  • Please use bio-degradable bags and cutlery and no plastic please as we are a green event.
  • We encourage recycling, upcycling and eco usage of products and setups – contact Fixx Events if you need ideas or theming.
  • Recycled bags sold at site office for $3.
  • No glass bottles to be sold or bottled water.
  • All Hot Food Stalls need to pay a yearly Waste Management Fee each January of $240.
  • If the Gosford Health Inspectors turn up, the final fee will be split between all food and produce stalls. Fixx Events and Marketing will not pay this amount – be warned.
  • Severe breaches will result in instant dismissal.
  • Any new hot food needs to approved by FIXX.
  • Power is limited and all vendors using power need to pay $25 every market and will be collected with your rent.
  • If using your own generator it must be SILENT, compliant and OHS sound. No trade otherwise.

 

CANCELLATION / STAYING PERMANENT/ REFUNDS

  • If you have paid for your position and cancel, we need 10 days minimum notice to get a refund.
  • If we get 10 business days notice or more we will transfer to the following month.
  • If you are away for more than 2 markets, you will need to pay for your site to secure it, otherwise we cannot guarantee your location. This is effective as of June 1st, 2014.
  • You are entitled to be away 2 markets per year. This is for any reason at all. If it’s within 10 days, there ARE NO REFUNDS given for any circumstance.
  • Rent payment is requested market day and if not able to do MUST BE DONE BY FOLLOWING FRIDAY 5pm and email once done. If not paid, you risk losing your stall and your responsibility.
  • If the weather is poor, call the market mobile on 0416 923 655 to listen to the recorded message. You can also call Bianca on 0416 097 707. The decision will be made by 6.30 am the morning of the market. Facebook will also be updated. THERE ARE NO REFUNDS if the event is cancelled.

OHS & WORKERS COMPENSTAION

  • Each stall must be compliant with OH&S guidelines and NSW Work Cover requirements and have their workers also covered by Workers Compensation Insurance.
  • The definition of a ‘worker’ includes any person who carries out work for a ‘person conducting a business or undertaking' (PCBU - the new term that includes employers). This term 'worker' includes any person who works as an:
  • employee
  • trainee
  • volunteer
  • outworker
  • apprentice
  • work experience student
  • contractor or sub contractor
  • employees of a contractor or sub-contractor
  • employee of a labour hire company assigned to work for a PCBU.

Duties of a worker

A worker must, while at work:

  • take reasonable care for their own health and safety
  • take reasonable care for the health and safety of others
  • comply with any reasonable instruction by the PCBU
  • Cooperate with any reasonable policies and procedures of the PCBU.

By applying online for Avoca Beachside Markets, you are agreeing to all event terms and conditions you indemnify Fixx Events or Gosford Council against any claims, and you will follow the terms and conditions accordingly at your stall.

STALL BOOKINGS

  • RENT MUST BE PAID 1 MONTH IN ADVANCE on the day of the market to keep your stall position. If you are away on holidays, it must be paid before you leave. If you are sick or cannot attend the market on the day for whatever reason, it is your responsibility to pay the week straight after the event. See details below.
